How to add receipts to old expenses

The EvenRound team · EditorialPublished Updated 1 min read

Finance wants original receipts for that conference dinner you logged three weeks ago. You have them - but you didn't attach them.

Receipts are often added late: you log the expense in the moment to keep the running balance correct, then attach the photographic proof later when you have a moment. EvenRound stores receipts as separate attachments on the expense, so re-attaching after the fact doesn't break anything.

Steps

  1. 01
Open the expense from the group page

Tap the expense to open the detail view. Don't edit other fields - just attach.

  2. 02
Use the camera or upload from photos

Tap 'Attach receipt'. The camera opens for in-the-moment shots; for old receipts, use the photo library.

  3. 03
    Verify the OCR result

EvenRound runs OCR on the receipt and extracts merchant, date, total. If the extracted total doesn't match the expense amount, check whether you logged the right number originally.

  4. 04
Confirm the attachment shows on the expense

Receipt thumbnail appears on the expense card. Other group members get a small 'receipt added' notification (no spam - just a status indicator).

  5. 05
If you needed it for finance: export to PDF

From the group menu, choose 'Export → PDF'. The PDF includes every expense's metadata plus attached receipts inline. Finance teams accept this.

Worked example

Conference dinner receipt added 3 weeks late

Riya's logged the £180 team dinner on day 2 of the trip. Three weeks later, finance asks for receipts. She finds the printed receipt, opens the expense, attaches a photo. OCR extracts 'The Wolseley, £180, 15 March'. PDF export includes the receipt inline. Finance approves.

Receipts and expenses are decoupled in EvenRound on purpose - the running balance shouldn't wait on a photo. Attach when you can; export when you need to.
